Technical Documentation Service for IT and IS, Procedures, Process and Software

Documentation

The Need for Documentation

At TCS we have decades of experience producing a wide range of high quality technical systems documentation. Our range of in-house and specialised templates are now available for us to use to document your organisation's IT and IS. We offer Technical Documentation, Business Process Documentation, Systems Documentation, Requirements Analysis, System Design, Help Manuals, How To Guides, Software Manuals to name but a few.

Knowledge of an IT or IS System or Procedure is meaningless if it cannot be communicated effectively. Properly documenting a system not only allows effective communication, but also prevents misinterpretation of perhaps complex procedures and also ensures that the knowledge of those procedures can be retained independent of the individual(s) that follow them.

Have you ever had a member of staff leave and then asked the question:

"What did they do with this document?" or

"Who does this report go to?" or

"When does this spreadsheet need to be updated?" or

"What username and password do I need to access this folder?" or

"Where is the spreadsheet with the monthly shareholder figures?"

There are many variations of questions that could be asked when knowledge of a particular IT/IS System or Procedure is lost through a member of staff leaving or even being on sick leave.

These questions can be avoided by ensuring that the processes and procedures that they follow are documented and readily available.

In most cases, documentation is also tangible evidence and description of the Capital Assets that your company has invested in.  Evidence that can be used to show auditors and other stakeholders that have a vested interest in the financial procedures of your company.

The Benefits of Structured Documentation

Imagine a scenario where every document produced by your company is consistently branded, formatted, indexed and referenced.  Hard to imagine?  Probably not.  These are the traits of a well-structured set of documentation.

It is, however, a lot harder to actively encourage all staff to adhere to a set of standards as we ourselves have found over the years.

The benefits of consistently structured documentation are worth the effort though.  It can help:

  • Promote learning and understanding of the organisation's processes.
  • Reduce time spent searching for information.
  • Increase standards and attention to detail.
  • Increase client's perception of your company's quality.
  • Demonstrate compliance with your industry standards or rules.
  • Provide an audit trail of change.
  • Reduce time spent creating new documentation to get estimates, reports and deliverables out faster.
  • Help identify areas of weakness or poor performance in your business and staff.
  • Decrease disruption and lost time through wide dissemination of knowledge.
  • Reduce duplication of effort.

Any time saved by properly structuring documentation within your organisation is a saving of real money; money that is a return on your initial investment in the time and cost of implementing a structured approach with TCS.

What have we learnt, that can help you achieve more consistent standards?

Over the many decades TCS has been in business, documentation has always been at the centre of our work.  We have an inherent need to document all the IS projects that we design, implement and maintain for our clients.  During this time we have built upon 5 core principles for implementing an effective documentation system:

  1. accessibility ensures that everyone has access to the documentation they need and when they need it.
  2. communication ensures that everyone knows where their documentation is stored and what documentation is available.
  3. training ensures everyone knows how to access the appropriate level of documentation and what standards they need to adopt when producing documentation.
  4. review ensures that the standards are followed and provides an opportunity for feedback to the author.
  5. enforcement ensures long term consistency to enable perceptions of quality to change.

If any one of these principles is weak, then the whole system of documentation is weak and your IT/IS Assets are at risk of not being properly maintained.  Like a weak link in a chain; the documentation system is therefore only as strong as the weakest principle.

  • TCS can help you build upon these principles by reviewing your current practices and helping identify areas of strength and areas of weakness.  We then use this information to build a strategy for you to implement taking into account the goals you wish to achieve.

What have we learnt that can help you achieve higher adherence to standards?

Effective document management is key to being able to find the right information when needed, but the document management technology can only go so far.  It cannot ensure that what is stored in the system is effective documentation.  Also, a document management system is only as effective as the degree of acceptability and use by all staff and stakeholders that are assigned to the system.

  • Our experience can add a significant degree of effectiveness to your Organisation's document production and management practices.
  • We can also offer tailored training and support for any document management system that we help implement within your organisation to ensure that it is utilised by your staff.

Our Methodology

When we work with you to produce documentation, whether it is a single document or a broad range, we follow a tried and tested methodology for determining your requirements, investigating and extracting the content from the identified sources and then compiling it into a format suitable for the intended audience.

Revealing the following sections offers you further information on the type of decisions that you will need to make when you would like us to help you document an IT/IS System or Procedure. more Þ

Our Approach to Pricing

We do not offer a 'one price fits all' approach to this type of work.  We recognise that each of our clients' needs are different, and as such, we price according to the level of skilled resource required to produce the documentation to a level of detail and quality to satisfy your needs.

The broad list of services below illustrates why a flat fee rate is inappropriate.   TCS will use a mixture of experience, skill sets and seniority on your assigned team for any specific documentation that you require.  Our basic fee rate for documentation can start as low as £430.00 + VAT per day plus expenses.
